What Business Processes Should You Automate With AI?
AI automation isn't about putting AI everywhere.
It's about finding the parts of your business that repeatedly consume time, create errors, or slow people down — and deciding whether technology can handle them better.
The best automation opportunities usually aren't the most impressive ones.
They're the processes your team is tired of doing.
Start With the Work, Not the Technology
Before choosing an AI tool, look at what your team actually does every day.
Ask:
- What gets repeated?
- What requires copying information between systems?
- What takes hours but adds little strategic value?
- Where do tasks regularly get forgotten?
- Where do people spend time searching for information?
- Where does the same question get answered repeatedly?
These are usually better starting points than simply asking:
“Where can we use AI?”
1. Lead Qualification
Sales teams often spend significant time researching leads before deciding whether they're worth pursuing.
An automated workflow can collect information, analyze the lead against your criteria, score the opportunity and send the relevant information to the sales team.
Example
New lead
↓
Company research
↓
AI qualification
↓
Lead score
↓
CRM
↓
Sales follow-up
The salesperson receives a researched lead instead of a blank contact record.
2. Customer Support
If your team answers the same questions every day, there may be an opportunity for automation.
An AI assistant can handle repetitive questions using your approved company information while escalating more complex situations to a person.
The goal isn't to remove human support.
It's to make sure your team spends its time on the conversations that actually need them.
3. Document Processing
Invoices, applications, contracts and forms often contain valuable information that someone has to manually extract and enter into another system.
AI can help extract the information, validate it against predefined rules and route exceptions to the appropriate person.
Instead of:
Read → Copy → Check → Enter → File
you can move toward:
Capture → Extract → Validate → Route
4. Reporting
If preparing a weekly or monthly report means collecting information from several systems and putting it into a spreadsheet, automation can often remove much of that work.
The system can collect the information, organize it and prepare the report automatically.
Your team reviews the numbers.
They don't spend the day assembling them.
5. Internal Knowledge
Employees shouldn't need to ask the same experienced person every time they need to know:
“Where is this document?”
“How do we process this?”
“What is our policy?”
“Who approves this?”
An internal AI assistant can make approved company knowledge easier to access while showing employees where the answer came from.
But Not Everything Should Be Automated
This is where businesses often get it wrong.
A process shouldn't be automated simply because it can be.
If a process is:
- Rare
- Highly unpredictable
- Strategically important
- Dependent on human judgment
- Already fast and inexpensive
automation may not be worth it.
Sometimes the right answer is a better process.
Sometimes it's an integration.
Sometimes it's a simple software change.
And sometimes the answer is:
Don't automate it.
A Simple Way to Find Your Opportunities
Take your team's recurring processes and score each one from 1–5 based on:
Frequency
How often does it happen?
Time
How much human time does it consume?
Repetition
How predictable is the process?
Error
How costly are mistakes?
Business Impact
What happens if the process becomes faster or better?
The highest-scoring processes are usually the best candidates to investigate first.
The Goal Isn't More AI
The goal is better work.
A good AI system should give your team something back:
Time.
Speed.
Accuracy.
Capacity.
Better decisions.
If it doesn't, it's probably not solving the right problem.
At Solviqo, we start with the workflow, understand where the real bottleneck is, and then determine whether AI, automation, integration or something simpler is the right answer.
